What is Procure to Pay Process?

The procurement process is an end-to-end process also known as the procurement process, which for short, is also called the P2P process. The cycle of acquiring the goods or services that are required to run a business or organization in a timely manner at the most cost-effective price.

Different Stages of the P2P Process

The P2P process is multi-step, with each step having its vital aspect to deal with. Organizations have different approaches to how they want their procurement process to go, according to cost, availability, and other factors. Here is how most businesses operate their procure-to-pay process.

Source-to-pay process

The initial stages of identifying the needs and selecting the correct goods and services that cater to those requirements will come under this process; the following step is involved.

Identifying the need: This is the foremost necessity for any procurement process. The management of any business or organization looks at the needs and requirements of the goods.

Selection of the goods & services: a list is generated that holds all the requirements of the goods or services that the management or the department needs. This marks the initiation of the finance team's evaluation process to ensure the accurate placement of orders, optimal vendor selection, and exploration of potential cost-saving opportunities.

Procurement Process

Now we move forward to the part where we purchase all we require. Three different steps conclude this process are:

Purchase order: Once the purchase request is reviewed and approved, a contract with the vendor gets finalized, the finance team issues the approval and places the order.

Receiving: Once the required goods or services are received, they must be reviewed and sent to the department.

Invoice: The invoice is verified against the received order before paying the vendor. This involves invoice matching, like two-way (invoice vs purchase order) or three-way (invoice, purchase order, and delivery receipt) matching, ensuring consistency before vendor payment.
